Workflow
How it works: from spreadsheet to driver-ready routes
AIRO follows the way dispatchers already work: start with a spreadsheet, fix what is wrong, plan, and hand drivers a file. Each step is handled by deterministic backend services, so the same input always produces the same plan.
Step 1: Upload your spreadsheet
Upload an Excel (.xlsx) or CSV file that contains your orders and vehicles. The original file is preserved exactly as uploaded, so you can always go back to it.
The platform detects your columns and proposes a mapping to the fields it needs. You confirm or edit the mapping once, and it is remembered for the next file.
- Orders with addresses, demand, service time and time windows
- Vehicles with capacity and start/end depot
- Optional depot and driver information
Step 2: Validate and optimize
Before any routing happens, every row is checked. Problems are reported with a specific, actionable message so you know exactly what to fix.
- Addresses that are incomplete, ambiguous or cannot be located
- Duplicate rows and repeated stops
- Missing required fields
- Orders that exceed any vehicle's capacity
- Invalid or impossible time windows
Correct, exclude or accept
Fix a value, replace an address, or exclude a row. Only the rows you keep are sent to the optimization engine.
A deterministic optimization engine
The routing itself runs in a dedicated solver, not in an AI model. It plans multiple vehicles from one depot while respecting capacity and time windows, and it reports any unassigned stops with the reason.
Step 3: Get driver-ready routes
Review the result on an interactive map, check the KPIs (distance, duration, vehicle utilization, unassigned orders) and compare it with your baseline plan.
Then export Excel or CSV files, one per vehicle, with stop order and planned arrival times.
Use the web portal, an AI assistant, or both
Everything above works in the browser. If you prefer, connect AIRO to Claude or ChatGPT through MCP and run the same steps by conversation. The assistant calls the engine; it never receives your full file.
Frequently asked questions
Can I optimize routes from an Excel file?
Yes. AIRO is built around the spreadsheet you already use. Upload an Excel (.xlsx) or CSV file with your orders and vehicles, map your columns, fix any validation issues, and run the optimization. You do not need to reformat your file into a rigid template.
Do I need a TMS to use AIRO?
No. AIRO is not a TMS and does not require one. There is no dispatch system to implement. You start with the spreadsheet you already have and export files your drivers can use.
What happens if an address cannot be geocoded?
Addresses are checked before optimization. If one cannot be located, it is flagged with a specific message (for example, a missing postal code or an ambiguous street), and you can correct it, replace it, or exclude the row. Nothing is optimized with an unresolved address unless you choose to exclude it.
Can I export routes for drivers?
Yes. You can export Excel or CSV files with one sheet or file per vehicle, including stop order, addresses, planned arrival times and optional map links and driver instructions.
